What is "My Letters"?

My Letters is your digital postal control center! This is where you manage all the letters that you created and sent, tracking each step of the process from creation to delivery.

🏠 What you see on the main page

The letters page has two clear sections:

📤 My Letters

Letters you created and sent, organized by status:

  • Pending (Draft, Writing, Ready): Letters you started but haven't posted yet. You can post them when ready.
  • Sent: Letters you already posted and are on their way to the recipient
  • Delivered: Letters that were confirmed as received by the recipient
  • Lost: Letters that got lost in transit

📬 Received/To Receive Letters

Letters you received or will receive from your correspondents:

  • To Receive: Letters that were sent to you and are on their way
  • Received: Letters you confirmed as received

🎯 Types of letters you can send

📝 Normal Letter

  • A common letter between friends
  • The recipient sees the letter as soon as you post it
  • Flow: Write → Post → Recipient receives → Confirms

🎁 Surprise Letter

  • A letter that surprises the recipient
  • The recipient only sees it when they register the physical code
  • Comes with a unique code to register receipt
  • Flow: Write → Post → Recipient receives physically → Registers code → Confirms

💌 Reply Letter

  • A letter that responds to another letter
  • Created automatically when you click "Reply"
  • Works like a normal letter

🔄 How to use the simplified system

To Send a Letter:

  1. 📝 Create: Click "New Letter" and fill in the data
  2. ✅ Confirm: The letter is created and automatically marked as sent
  3. 📮 Review: You'll see a confirmation page with the recipient's address
  4. 📤 Post: Go to the post office and mail the physical letter
  5. ⏳ Wait: The recipient will receive and confirm receipt
  6. ✅ Notification: You'll receive a notification when the recipient confirms

Note: If you have old letters with intermediate statuses (Draft, Writing, Ready), you can post them by clicking "Post Letter" on each one.

To Receive a Letter:

  1. 📬 Receive: When you receive a physical letter
  2. ✅ Mark as Received: - If the sender already registered the sending: go to "Received Letters" and click "Mark as Received" on the corresponding letter - If the sender didn't register: use the "I Received the Letter" button to register
  3. 💌 Reply: After confirming receipt, you can reply if you want

"I Received the Letter" System:

When you receive a physical letter but the sender didn't register it in the system:

  1. 📝 Access: Click "I Received the Letter" in the "Received Letters" section
  2. 👤 Select: Choose the sender of the letter
  3. 🔍 Check: If the sender already registered the sending, you'll see a list of letters to match
  4. ✅ Register: Confirm which letter you received or register as a new received letter
  5. 📧 Notification: The sender will be notified automatically

For Surprise Letters:

  1. 🎁 Letter Arrived: The recipient receives a physical letter with a code
  2. 🔢 Register Code: The recipient goes to "Register Surprise Letter" and types the code
  3. ✅ Confirm: The system confirms and you are notified
  4. 💌 Reply: The recipient can see the letter and reply if they want

✨ What changed? Simplified System

What's in the updated control:

  1. Simplified Creation:
  • When creating a letter, it's automatically marked as sent
  • Direct redirect to confirmation page with recipient's address
  • Faster and more direct process
  1. Dashboard with Clear Sections:
  • "My Letters": All letters you sent
  • "Received/To Receive Letters": All letters you received or will receive
  • Clear visual separation between sending and receiving
  1. Modernized "I Received the Letter" System:
  • Dedicated interface for marking receipt
  • Automatic matching with letters already registered by sender
  • Automatic creation of received letter when sender didn't register
  1. Handling of Old Letters: - Letters with intermediate statuses (Draft, Writing, Ready) remain visible - Single action: "Post Letter" to convert to sent - Gradual migration as you interact

What was removed to simplify:

  1. Intermediate Statuses in Flow:
  • ❌ Removed: Manual change between Draft → Writing → Ready
  • ✅ Now: Letter created already as Sent
  • Reason: Reduce complexity and confusion for users
  1. Code Display:
  • ❌ Removed: Visible codes in interface (surprise letters)
  • ✅ Kept: Codes in database (for compatibility)
  • Reason: Codes confused users and weren't necessary in most cases
  1. Multiple Status Actions:
  • ❌ Removed: Buttons to change status between intermediates
  • ✅ Kept: Only "Post Letter" for intermediate statuses
  • Reason: Simplify user decisions
  1. Complex Posting Flow: - ❌ Removed: Multiple steps before marking as sent - ✅ Now: Direct creation as sent + confirmation - Reason: Align with real behavior (create = send)

🔄 Compatibility with Old System:

  • Old letters preserved: All letters with intermediate statuses continue working
  • Data maintained: No data was lost in simplification
  • Smooth migration: You can post old letters whenever you want
  • Essential features maintained: Sending, receiving, and tracking continue working

📝 Important Notes:

  • Surprise letters still work, but without visible codes in interface
  • Code registration system remains available for special cases
  • All notifications and integrations continue working normally

📊 Special Features

Correspondent Page

  • Access through the "Correspondents" sidebar
  • See letters that a specific correspondent sent to you
  • Organize your correspondence by person, not by date

Letter Details

  • Click "View Details" on any letter
  • See the complete timeline of letter progress
  • Edit your personal notes about the letter
  • Execute available actions (change status, post, etc.)

For Senders:
